New Family Medical Leave Act (FMLA) Time Tracking Bank Coming Soon!

Effective May 1, a new FMLA time tracking bank will be added to all employees who have current and future approved FMLA cases. The bank will appear on the employee’s timesheet, similar to how extended sick banks appear in MPathways. 

The FMLA tracking bank is intended to support the tracking and proper use of approved FMLA time for managers and employees. It is not a bank that represents paid time but rather tracks the 12 weeks of FMLA benefit for eligible and approved employees who may be off using Extended Sick pay, PTO, and sometimes No Pay. It will provide better visibility to help reduce over/under use of FMLA time and support supervisors in effectively planning for staffing needs. This is one of several time tracking tools available for Michigan Medicine.

The FMLA tracking bank will apply to all Michigan Medicine employees who are required to have a timesheet submitted in M-Pathways. As part of the new FMLA tracking bank, a new FMLA tracking code will be implemented and required to track the use of FMLA time.

Payroll Outlook Calendar

Adding “Payroll-Cutoffs-Due-Dates” to your Outlook calendars allows you to easily see important payroll dates. This calendar replaces the Finance-Payroll calendar. If you haven’t already added the “Payroll-Cutoffs-Due-Dates” to your Outlook calendar, see the instructions below.

How to add the Payroll-Cutoffs-Due-Dates calendar:

  1. Open Outlook Calendar.
  2. In the top ribbon, go to Manage Calendars, click “Open Calendar” and select “From Address Book.”
  3. In the Search field enter “Payroll.”
  4. Select “Payroll-Cutoff-Due-Dates” from the list and click the “Calendar” button at the bottom of the box, and then click “OK.”
  5. The calendar will now display as a viewable Outlook calendar.

The paper-based Personal Data Change Request form discontinued

The Campus Address or Personal Data Changes are now consolidated into one simple to use e-Form. This online form is designed to be more convenient (no physical signatures required, no printing of forms) and COVID-friendly for all involved.

To access the e-Form, employees should visit the Human Resources section on the Shared Service Center webpage. Click ‘Address or Personal Data Changes’ to find a direct link to the Campus Address or Personal Data Change e-Form.

Timekeeper Tip: Run this query to find timesheet errors quickly

After time is entered, submitted and/or approved on each employee’s timesheet, you will want to run the  MTL_EXCEPTION_GROUP (also available by SupervisorID MTL_EXCEPTION_SUPERVISOR) query about an hour later to ensure there are no errors.

AND

You’ll want to run the MTL_PAYABLE_TIME_QTY_GROUP (also available by SupervisorID MTL_PAYABLE_TIME_SUP and deptID MTL_PAYABLE_TIME_QTY_BY_DEPT) query to make sure all of the reported time ends up in payable time as expected after Time Administration runs and applies rules, because payable time is what gets loaded to “Payroll” to create the paychecks.

Give it a try and there is a good chance you’ll find the accuracy of your payroll increases. If so, then Kudos to YOU for following all of the Steps to an Accurate Payroll and ensuring employees in your department are paid accurately and on time. Go You! Go Blue!
