PTO overuse errors on the biweekly payroll

Recently, our office has seen an excessive number of leave balance overuse, especially PTO. The most common outcome of overuse is the employee being overpaid, which results in the department working with the employee to repay the funds. Here are three ways your department can avoid this situation:

  1. Run the Leave Balance query (MTL_LVE_BAL_GROUP) the day after a payroll cutoff. This query displays the available balance of leave banks for every employee in a static or dynamic group. Refer to this report when reporting or approving time for staff. Also be sure to take into account any PTO requested to be paid on the last off-cycle - those hours will deduct from banks when the regular on-cycle payroll runs as well.
  2. Run a payable time query (we recommend MTL_PAYABLE_TIME_QTY_GROUP) and review time processing, including prior period adjustments. Compare the payable time query to a reported time query to check for variances which could be a result of time reported incorrectly, for example, the system changing PTO which is reported overused to no-pay on payable time. If this happens, correct reported time on the timesheet to accurately reflect the leave balance.
  3. Run the Exceptions/Errors query (MTL_EXCEPTION_GROUP) to identify errors to be fixed before the payroll runs. This very important step, and if done in a timely manner as recommended will prevent incorrect paychecks for employees, including leave balance overuse.

Starting in July, MM Payroll will begin auditing payroll errors specifically for leave balance overuse. A member of our team will reach out to those departments on the exceptions report to provide assistance in resolving these issues prior to the next payroll cutoff.

Maintain time reporter data guide

Maintain Time Reporter Data is the M-Pathways page where a designated person in a department using the punch/web clock time collection method can update an employee’s timesheet to accept punches, as well as updating their workgroup and Time Collection Device (TCD) group.
