HR website document migration

As the University moves away from MBox, HR will also be moving all of its web documents to a new web-based storage platform (SharePoint). We are working through the website quickly, but this process will take time. We anticipate being fully migrated by the end of the summer. Any bookmarked documents and/or payroll resources will need to be relinked due to the migration.

Reminders: Payroll Corrections

If corrections do not result in a change in pay, remember to process those changes as a prior period adjustment on the timesheet

  • Unless the correction is more than 6 months old; then a correction form is required

If an employee is terminated or on an unpaid leave of absence and a correction to their timesheet is needed:

  • Be sure to send in a Payroll Correction form
  • Do not make changes on the timesheet in M-Pathways as those changes will not process due to having an inactive appointment

Time away to get the COVID-19 vaccine

Supervisors and managers should be flexible in allowing employees time to be vaccinated. This can be done during work hours, or off work hours, in the same way the annual flu vaccinations are handled. Time away to get vaccinated can be reported as REG hours.

Time off due to adverse reactions will require employees to use PTO/sick time first, then COVID-19 PTO if available and eligible.

Timekeeper Tip: New query for AFSCME PDT Review

MTL_AFSCME_PDT_REVIEW is a new query to help review Personal Discretionary Time (PDT) use for AFSCME bargained-for employees. The review is to ensure that time is reported in accordance with the AFSCME contract language.

If PDT is used during the period or date range entered on the search page, the query returns all PDT, PTU, PTS, FML, FMT, HOL, HOM and UET for that period.

Using the query will allow you to identify employees who are not using PDT time in 4-hour increments, as the contract requires. It will also identify if employees are using PDT time before or after a holiday, which is not allowed, per the contract.

Be sure to review the AFSCME collective bargaining agreement, Article 24, for full details on the proper use of Personal Discretionary Time (PDT).
