Missing time report fix
Terminated employees were previously not showing up on the Missing Time Report. This means if someone terminated in the pay period and they did not have any time reported or approved, notifications about Missing Time would not go out to departments. Information Technology Services (ITS) was able to add a fix to the system.
As a reminder, employees who are required to report their time on a timesheet must have a completed timesheet, including necessary approvals, before the payroll deadline in order to be compliant with our Payroll and Internal Controls requirements. Employees with an active appointment and who are salaried, will be paid their standard hours on job data even if time is not reported or approved.
If an employee no longer works here or is out on unpaid leave of absence, but their appointment is still active, departments will need to report no pay (ETW) to prevent an overpayment.

Reminder: PTO payouts for non-bargained for staff
Non-bargained for staff with less than two years of service are not eligible to receive a payout of their PTO balance upon termination. You may reference the UMHS & Shared Service Non-Bargained for Staff PTO Guidelines, 04-06-010 for more information.
“Unused PTO will be paid to employees upon termination of employment only when they have at least two years of service in a regular position, upon reduction in force, upon start of a military leave of absence (at employee's option), and other leaves of absence as specified in SPG 201.30, Leaves of Absence.”
Timekeeper Tip: Email subject lines to improve communication
When sending an email to the Michigan Medicine Payroll Team be sure to include a subject line that is as specific as possible.
A good format for emails to your pay analyst would be:
- Topic-focused (PTO balance, Holiday time reporting, etc.)
- Include EMPLID and Record Number (12345678-0) if email is in regard to a specific employee
Examples: “Holiday reporting question 12345678-0” or “PTO Discrepancy 23456789-0”
By making the subject line specific it helps our office to identify more urgent situations, especially during payroll cut-off days.
