UMPNC-MNA December Lump Sum Payment Reminder

Eligible nurses will receive the December Lump Sum payment on their last paycheck in December (12/29/23). The payments have been loaded into the system and lists of nurses receiving the payment have been sent out to timekeepers and supervisors for their awareness.

Time Reporting – Non-bargained Employees on paid leave, during holiday week, & with shift premium

The following applies to non-bargained for staff who meet both of the following criteria:

  • normally receive shift differential for working afternoons, nights, or weekends
  • are off on paid leave (ESF, ESP, ESH, MRL, PRL) not working at all during a holiday week, 

The Standard Practice Guide (SPG) states that NBF employees in these situations should continue to receive shift premiums while on paid leave. Shift Standard Practice Guide 201.55

II. F. “When an employee is paid vacation, extended sick, sick, paid maternity (childbirth) leave, paid parental leave, PTO, holiday or season day pay for time that would have included shift premium if worked, the payment will include shift premium.”

In addition, during holiday weeks, their holiday is prorated based on FTE, and the rest of their standard hours are reported either prorated across the other weekdays (M-F) or reported similar to their schedule (including on weekends) to maintain the shift premium pay they were receiving prior to going off work. 

Examples Below: 

  1. .9 FTE/36 hrs. Normally works three 12’s. Off on maternity the entire week of the holiday.

In the case above, because the holiday is on Friday and NBF staff receive weekend shift premium for working afternoon/nights on Friday, the employee will receive more weekend afternoon shift premium than they normally would get on non-holiday weeks (this can happen during holiday weeks even if they are working). The holiday must always be part of the standard hours to avoid extra pay when they are completely off work (no HOM/HOP). The Holiday is prorated by FTE/Standard Hours, to be equitable in how much MRL is used during holiday weeks being that employees are still eligible for holiday pay while out on paid leave.

2. 1.0 FTE/40 hrs. Normally works four 10’s. Off on Extended Sick Full Pay (ESF) the week of the Thanksgiving Holidays

In the case above, the holiday is reported based on standard hours and FTE (prorated); the rest of the time is reported to maintain the shift premium pay at the same level as when they were working their schedule. They normally get 30 weekend night shift premium and 10 weekday night shift premium, so it was reported to maintain that plus the HOL is prorated based on standard hours/5 on both holidays.

Please Note:

  • ESA/ESB, NSA/NSB reported on weekends will automatically get “flipped” to the weekend shift codes for those 24/7 patient care areas and supporting units.

Similar time reporting practices apply to bargained for employees based on shift and holiday pay rules within the respective contracts.

Updated Payroll Correction Form

We have updated the Payroll Correction Form!

Based on feedback and with the goal of making sure we get the information needed to process your forms as quickly as possible, we’ve edited our form. Please note the following:

  • We really do need allareas of the form completed and as accurate as possible! If not, we will need to reach out and ask questions which delays processing your form.
  • Do not copy your Pay Analyst when emailing forms as this can cause confusion and delays. (We work as a team and have varying strategies for routing and processing forms in a timely manner. Only send where indicated, and we will handle the rest!)
  • When submitting your forms, you can send multiple forms together provided they are for the same employee. Grouping forms for different employees together can cause delays as we must separate them.
