U-M Health Timekeepers & Approvers Weekly Update: January 4, 2024

Payroll Correction Form

We have updated the Payroll Correction Form! Please start using the new form today.

Based on feedback and with the goal of making sure we get the information needed to process your forms as quickly as possible, we’ve edited the form. Please note the following:

  • We really do need allareas of the form completed and as accurate as possible! If not, we will need to reach out and ask questions which delays processing your form.
  • Do not copy your Pay Analyst when emailing forms as this can cause confusion and delays. (We work as a team and have varying strategies for routing and processing forms in a timely manner. Only send where indicated, and we will handle the rest!)
  • When submitting your forms, you can send multiple forms together provided they are for the same employee. Grouping forms for different employees together can cause delays as we must separate them.

Reminder: Current versions of all U-M Health Payroll forms can be found on the Forms > Timekeepers section of the MMHR website.

Sell Back – January 2024

The annual PTO Sell Back program allows non-bargained employees to request a pay out of their available PTO bank hours (up to maximum allowed) according to PTO Policy guidelines either the last paycheck in January or May (not both). Refer to applicable bargaining agreement for bargained for employees.

For January sell back payouts, timekeepers should ask for forms to be submitted to the designated department representative no later than January 16th, 2024. This allows sufficient time for data entry on timesheets before the payroll cut-offs on Jan. 23, 2024 (biweekly), and Jan. 25, 2024 (monthly).

Employees eligible to sell back PTO:

  • U-M Health Non-bargained employees.
  • Employees covered by the following bargaining agreements:
    •  AFSCME - American Federation of State, County & Municipal Employees, AFL-CIO
    • UMPNC – University of Michigan Professional Nurse Council
    • UPAMM – United Physician Assistants of Michigan Medicine

Employees not eligible:

  • Non-bargained employees in job titles in “upgraded pay zones”
  • Employees in their probationary period
  • Campus or Med School Employees (non-bargained for) with Vacation & Sick plans

Additionally, employees must remain on an eligible PTO plan for the entire pay period in which the PTO hours are paid out (indicated below). This means that if an employee transfers to a new position that does not have the PTO plan (e.g., UM Campus Vacation & Sick plan) at any point during that period, they are no longer eligible to sell back any PTO hours.

Pay Periods for PTO Sell Back entry:

  • Biweekly pay period: 1/7/2024 - 1/20/2024
  • Monthly pay period: 1/1/2024 – 1/31/2024

If Sell Back hours are not reported (missed) before the appropriate payroll cut-off, you should report the hours as a prior period adjustment in the appropriate pay period (noted above) and allow the hours to pay out on the following paycheck.

Be sure to review the links below for program details including other sell back programs (i.e., Sick Sell Back for Trades Bargained for employees) and eligibility based on employee type.
