U-M Health Timekeepers & Approvers Weekly Update: February 22, 2024

FMT/FML Reporting

The U-M Health HR-Payroll Office will be regularly processing a new audit to identify instances of when the FMT/FML tracking code is reported without a pay code (ESF, etc.).

Normally FMT/FML is reported with a pay code for purposes of tracking FMLA time. However, there is one exception where the FMT/FML is reported without a pay code, and that is when an employee picks up an extra shift and then calls off for that shift for reasons related to their approved FMLA case.

When this happens:

  • FMT/FML is reported on the timesheet with hours equal to the shift length the employee was scheduled to work.
    • No pay code is required.
  • A comment should be entered on the timesheet indicating why the FMT/FML code is reported without a pay code.
    • Example: employee called in for FMLA related reason on over appointment shift
    • This way our team will know the entry is an acceptable use of FMT/FML without a pay code.

UMPNC PTO Donation Requests

The PTO Donation Request form for union nurses has been updated and posted to the JIT Website. Additional questions and statements were added to make the process of reviewing each case more efficient for the PTO Donation Committee and to better inform the requestor.

Additional information on the request includes:

    • Intermittent or continuous use?
    • Specify the time period donated hours are needed.
    • Was an FMLA case submitted and approved, if not, please submit a case.
    • Statement that hours will be removed if not used in the manner requested and approved.
    • Statement that intermittent requests will be granted on a pay period by pay period basis requiring nurse to reapply every two weeks with number of hours they are confirmed off for approved purpose.

Reminders for Timekeepers on handling the time reporting for nurses approved for donated PTO hours:

      • Be sure to carefully track and use the appropriate code for use of donated hours (PTD).
        • Make sure hours are used in accordance with the approved request only.
        • Let us know immediately if anything changes so we can make adjustments.
