Early Biweekly Payroll Cut-off Thanksgiving Week

Make note of the special payroll process schedule for biweekly, monthly, and off-cycle payroll cutoffs and due dates around the Thanksgiving holiday.

Please note the Biweekly payroll cut-off occurs on Sunday, November 24, 2024, at 10AM. As usual the payroll team may need to reach out to departments to address errors showing on our payroll audits. It is also very important that department timekeepers engage in their normal audit steps prior to payroll running as well and start early to minimize issues on cut-off morning.

New Service Employees International Union Contract

The Service Employees International Union (SEIU) bargaining agreement was ratified on 11/4/24. A Timekeepers Network webinar will be scheduled in the coming weeks to review items related to timekeeping. Stay tuned!

Sell Back - January 2025

The annual PTO Sell Back program allows non-bargained employees to request a pay out of their available PTO bank hours (up to maximum allowed) according to PTO Policy guidelines either the last paycheck in January or May (not both). Refer to applicable bargaining agreement for bargained for employees.

For January sell back payouts, timekeepers should ask for forms to be submitted to the designated department representative no later than January 15th, 2025. This allows sufficient time for data entry on timesheets before the payroll cut-offs on Jan. 21, 2024 (biweekly), and Jan. 28, 2024 (monthly).

Employees eligible to sell back PTO:  

  • U-M Health Non-bargained employees
  • Employees covered by the following bargaining agreements:
    • AFSCME - American Federation of State, County & Municipal Employees, AFL-CIO
    • UMPNC - University of Michigan Professional Nurse Council
    • UPAMM - United Physician Assistants of Michigan Medicine
    • SEIU - Service Employees International Union

Employees not eligible:

  • Non-bargained employees with job titles in “upgraded pay zones”
  • Employees in their probationary period
  • Campus or Med School Employees (non-bargained for) with Vacation & Sick plans

Additionally, employees must remain on an eligible PTO plan during the pay period in which the PTO hours are paid out (indicated below). This means that if an employee transfers to a new position that does not have the PTO plan (e.g., UM Campus Vacation & Sick plan) at any point during that pay period, they are no longer eligible to sell back PTO.

Pay Periods for PTO Sell Back time entry:

  • Biweekly pay period: 1/05/2025 - 1/18/2025
  • Monthly pay period: 1/1/2025 – 1/31/2025

If Sell Back hours are not reported in time to meet the payroll cut-off deadline, report the hours as a prior period adjustment in the pay period noted above and allow the hours to pay out on the following paycheck.
