FMLA Time Tracking Bank - Reminders and clarifying information

The new FMLA time tracking banks went live on May 1 (for monthly employees) and May 2 (for bi-weekly employees). If you have not read about this change, view previous editions of the Timekeeper Update and/or find more information and resources on the Michigan Medicine HR website.

As of May 5, 2021, departments may review their employees pre-loaded FMLA time tracking bank balances for accuracy using the following queries:

  • MTL_FMLA_LEAVE_BAL_EMPLID

  • MTL_FMLA_LEAVE_BAL_GROUP

If there are needed adjustments please submit a case to the HR Solutions Center Leave Management Team here (open in Chrome) under sub-category “FMLA”. The HRSC Leave Management Team will review the case and make necessary adjustments to the tracking bank balance.

Tracking Family Medical Leave Act (FMLA) for exempt staff

Exempt employees normally report their time off in ½ day increments based on their shift length for the day. There is one exception to this when the time off is due to a personal medical condition. In these cases the employee is required to report their time off to the 1/10 of the hour, same as non-exempt employees. This distinction is written into the UMHS Non-bargained for Paid TIme Off policy.

When tracking FMLA time using the ‘FMT’ tracking code on the timesheet, there may be cases where an employee has an FMLA related absence that is not related to a personal medical condition. In this case, ‘FMT’ may be reported without a pay code, if the absence is less than a ½ day.

Reminder: May PTO Sell Back

The PTO Sell Back program resumes in May 2021 for non-bargained employees. Those who are eligible for PTO Sell Back should submit their Sell Back Form to their department timekeeper or supervisor by Saturday, May 15.

Non-bargained employees have the option to sell back up to 40 hours of paid time off, as long as 40 hours remain in their PTO bank. Program details may vary for bargained-for employees, and they are encouraged to check the Sell Back Process & Procedure and/or the terms of their collective bargaining agreements.
