Do’s
- Ensure you are paying non-exempt staff Overtime 1.5 rate (OTP) whenever they work over 40 hours in a week
- Unpaid lunch breaks for non-exempt staff must be uninterrupted where no work is expected to occur. Otherwise, we must pay the employee for the time
Don'ts
- Do not allow non-exempt employees to work without paying them
- Not paying non-exempt employees for working is a violation of Federal and State Labor Laws

Holiday Time Reporting Resources
The end of the year holidays are fast approaching. To refresh your memory on holiday time reporting, the holiday guides and accompanying videos are available on the Holiday Time Reporting page. Guides are available by workgroup and provide an overview of holiday rules, time reporting codes, and several examples of various holiday scenarios based on your feedback.
PTO Sell Back 2023
Employees who are eligible for PTO sell back (Non-bargained and AFSCME, MNA/UMPNC & UPAMM bargained for employees) should submit a sell back request form to their department timekeeper or supervisor no sooner than January 1, 2023. However, it’s not too early to begin sharing the form with your department staff.
All requests should be submitted to timekeepers/supervisors Jan. 1, 2023 thru Jan. 16, 2023 to allow time for data entry before the payroll cut-off Jan. 24, 2023 for Biweekly paid and Jan. 26, 2023 for Monthly paid employees.

Reminder: December PTO/ vacation loads for AFSCME and Trades bargained-for staff
AFSCME and Trades bargained-for staff at Michigan Medicine who are active on December 1, 2022, will have 32 hours of PTO/ vacation hours, prorated by FTE, added to their banks. The hours will be effective and available for use on Sunday, November 27, 2022.
The additional hours will be added after the December accrual loads. This gives employees the entire month of December to use any excess hours that exceed the maximum allowed balance in accordance with the respective bargaining agreements. Once January’s accrual is loaded, any hours that exceed the maximum allowed balance + one additional accrual, will be lost. Please remind employees of this so they can plan time off if needed.
This annual load of hours for these bargained-for employees is in lieu of the season days available to Campus employees.
